The Batch Posting module allows you to disperse an entire insurance company payment to several different patient tickets with just a few clicks. How EastMD™ works in your office..
Appointment Requested When a patient calls to make an appointment, select a time on the appointment grid and double-click, or select the “Next Available” option. You can set aside time for specific types of appointments by creating Group Reservations. Blocking a time on a provider’s schedule is also possible, which allows you to note when a provider will be unavailable for appointments at each location. You can make, move, reschedule and track patients in the scheduler. |

Patient Information Get a patient’s demographic, insurance, and claims information, and enter it into the patient information screens. You can update patient information at any time. |

Encounter Form Printed Once you have entered the patient information, you can print the encounter forms for the patients being seen during that or the next day. You can then note all of the services provided on the encounter form. This information is then used to create the patient’s ticket. |

Encounter Form Reviewed and Transactions Posted All diagnoses, charges, payments, and other transactions are entered on the ticket after the encounter form is reviewed. This keeps a complete record of the patient encounter. If the patient owes a co-pay or a specific percentage of procedure, this information is noted in the patient information, displayed on the ticket, and can be collected at the time of the encounter. After the information is entered, a walkout statement can be printed from the Ticket Module for the patient to keep. |

Insurance Claims Prepared Store insurance claims information in Claims Processing. After the ticket has been created, it will appear in Claims Processing with a status of “Posted”. This is where you will file your claims (either electronically or by using paper HCFA forms). Claims Processing allows you to gather all of the claims together in the grid and batch print and batch submit claims. After the claims are transmitted, the claim’s status is changed to “Filed” for quick reference. EastMD also allows you to print the claims grid so you can keep track of the claims that were submitted on a specific day. |

Payments Received from Insurance Carrier When a check from the insurance company comes in, payments can easily be posted to the patient’s tickets. The Ticket Module can be used to post individual payments to individual tickets. Batch Posting allows you to post a lump insurance payment to multiple tickets and to post adjustments simultaneously. Capitation is used to post captivated charges and adjustments. If you need to resubmit the claim, you can change the status to “Posted” and resubmit it with more information or documentation. |

Secondary Insurance Claims Filed After a primary insurance payment is posted, the claim can be filed with the secondary insurance. Select the “secondary” option in claims processing and simply print the secondary claims |

Statements Sent to the Patient Statement Processing is used to send statements to the patient after all insurance claims have been filed. By sending patient statements, you can also make patients aware of their financial responsibility. This allows you to collect payments from patients for procedures that may not have been covered by the insurance company. |

Patient Payments Received When patient payments are received, they can be posted on the ticket as “patient payment”. |

Creating Reports EastMD’s reporting capabilities allow you to keep track of the appointments, transactions and receivables for all of the patients in the system. Reports authorize you to view the status of all of the individual patient encounters and to keep track of the business aspects of your practice. You can create receivables and collections reports to keep track and monitor the status of your practice. |

Q: How secure is my data over the Internet?
A. EastMD is not delivered through your browser, but via a direct connection from your workstation to a highly protected environment using the Internet as a conduit. Our technology creates a secure pipeline that transports data past the cluttered, busy World Wide Web, allowing you to avoid contact with viruses, spyware, SPAM, and other unwanted Web browser traffic. Our system operates in the same environment commonly used by the Defense Department and Federal Reserve to handle their information transfers. All data stored in EastMD is encrypted using 128 bit Secure Socket Layer (SSL), the highest form of data encryption available on the Internet today. Algorithms scramble data so that unauthorized users cannot view it, keeping your patient data safe from data pirates or hackers.
Q: How often is my data backed up?
A. As an ASP, HealthOne Medical Centers has multiple servers in multiple structures throughout the country. The security of these structures is never compromised and always strictly controlled. Our servers are configured according to Redundant Array of Independent Disks (RAID) Level 5, which distributes data across several hard drives and provides for its recovery if it is lost. In addition, we continuously perform backups, security and fault tolerance checks. A full backup is conducted in high capacity digital tape at the end of every alternate business day, and a differential backup is performed on the days in between. This not only ensures the safety of your data, but releases you from performing backups yourself.
Q: What is an ASP?
An ASP, or Application Service Provider, is an information technology company that pre-integrates best-of-class packaged applications. The ASP hosts, monitors, and manages these applications to their customers on a subscription basis. ASPs release customers from both capital investment and operating costs associated with owning software or hardware and employing resources to manage the information infrastructure.
